Everything you need to launch your education business CRM — follow the sections below in order for the smoothest setup experience.

Create a New Contact

Add your first student, parent, or enquiry to Komunzy and start building meaningful relationships from day one.

Create a New Contact

Every enrolment journey starts here. Add any student, parent, or prospective family to your Komunzy database so you can track their journey from first enquiry to enrolled student.

Navigate to Contacts in the left sidebar.

Click the + Add Contact button in the top-right corner.

Fill in the contact details. At minimum, enter a name and either an email address or phone number. The more information you add, the easier it is to personalise your follow-ups.

Click Save. The contact will now appear in your contacts list.

Tip: Contacts are created automatically from forms
When a parent fills in your enrolment enquiry form or trial booking form, Komunzy creates a contact automatically — no manual entry needed.

Edit an Existing Contact

Keeping contact records up to date ensures your follow-ups stay relevant — for example, when a student moves to a new programme or a parent changes their phone number.

Navigate to Contacts.

Click on the contact's name to open their Contact Card.

Edit any field on the left-hand panel. Click Save when done.

Delete a Contact

⚠️
Important: Deleting a contact also removes related records
This includes their conversations, notes, appointments, tasks, and active workflows. Deleted contacts can be restored within 30 days.

Navigate to Contacts.

Select the contact using the checkbox to the left of their name.

Click the Delete button in the top toolbar.

Type DELETE in the confirmation box to confirm, then click Delete.


Create Custom Fields

Custom fields let you track information unique to your school — for example, "Year Group", "Subject Interest", "Referral Source", or "Sibling at Centre".

Navigate to Settings → Custom Fields.

Click Add Field.

Choose the field type: text, dropdown, date, checkbox, etc.

Name the field (e.g. "Year Group"), set the group, and click Save.

Import Existing Contacts

Migrate your student and parent database into Komunzy in minutes using a CSV file.

Prepare Your CSV File

Before importing, make sure your spreadsheet is in the right format. Komunzy accepts standard CSV files (comma-separated values).

Import Contacts

Go to Contacts and click the Import button (top right).

Select Import from CSV and upload your file.

Map your CSV columns to Komunzy fields (see below).

Choose how to handle duplicates, then click Import Now.

Handle Duplicates

If a contact with the same email or phone number already exists in Komunzy, you can choose to:

  • Skip — keep the existing record, ignore the duplicate in the CSV.
  • Update — overwrite the existing record with the CSV data.
  • Create new — add a new contact regardless (may create duplicates).

Recommended for first-time imports
Choose Update existing contacts. This ensures all your current student data is correctly reflected without creating duplicates.

Set Up Email, Phone & SMS

Connect all your communication channels so you can email, call, and text parents and students directly from Komunzy.

Set Up Email Domain

Sending from a verified domain (e.g. hello@yourschool.com) dramatically improves deliverability and ensures your emails don't land in parents' spam folders.

Navigate to Settings → Email Services.

Click Dedicated Domain, then Add Domain.

Enter your subdomain (e.g. mail.yourschool.com) and click Add & Verify.

Follow the DNS record instructions and click Verify Records.

Set your From Name (e.g. "Bright Minds Tuition") and From Email, then click Save.

Add a Phone Number

A dedicated Komunzy phone number lets you make and receive calls and SMS messages — all logged automatically against contact records.

Go to Settings → Phone Numbers.

Click Add Number → Add Phone Number.

Filter by country and area code, then select your preferred number.

Click Proceed to Buy. The number will appear under Manage Numbers.

Go to Contacts, apply Smart List filters to select your audience (e.g. "Trial Booked" tag).

Select the contacts using the checkboxes, then click the SMS icon in the toolbar.

Compose your message or select a saved template. You can personalise with fields like {{contact.first_name}}.

Choose to send immediately, schedule for a specific time, or send in drip batches.

Select From Template → Continue.

In the Template Library, filter by Education to see school-specific designs.

Preview your chosen template, then click Continue.

Connect Your Domain

Facebook & Instagram Lead Ads

Connect your Facebook and Instagram lead ad campaigns so new leads flow directly into your Komunzy contacts — no manual export needed.

Facebook & Instagram Messenger

Manage all Facebook and Instagram DMs from your Komunzy inbox — never miss a parent message coming in from social media.

Connect Stripe

Accept online payments for tuition fees, course enrolments, and workshops — securely and instantly through Stripe.

Authorise the connection. You'll be redirected back to Komunzy.

Use Payment Links when the amount is fixed and you want to send a quick self-serve link (e.g. "click here to pay Term 3 fees"). Use Invoices when you need a formal record with itemised fees, a due date, or different amounts per family.
